Assistant Director

The Assistant Director is a full-time, year-round leadership position responsible for the day-to-day execution of Chamber events, membership development, and community engagement, while also serving as the Executive Director's operational deputy. This role combines hands-on event and membership work and the authority to represent the Chamber and support operations when the Executive Director is unavailable.

The ideal candidate is an organized, outgoing relationship-builder who can manage complex event and membership programs independently, think strategically about budgets and priorities, and step confidently into an operational leadership role.

Primary Responsibilities

Deputy Leadership & Operational Support

• Serve as the Executive Director's operational deputy, acting as the primary staff point of contact on day-to-day
event, membership, and community-engagement matters in the Executive Director's absence.
• Represent the Chamber at meetings, ribbon cuttings, and community functions when the Executive Director is
unavailable.
• Assist the Executive Director with organizational planning, reporting, and administrative tasks as assigned.
• Keep the Executive Director informed of program status, issues, and opportunities across events and membership.

Event Planning and Execution

• Plan, organize, and execute Chamber events including the Annual (Founders Day) Banquet, Wild West Arts Fest,
Christmas Parade and Stroll, Business After Hours, Legislative Forums, and other community and fundraising
events.
• Develop comprehensive event plans, timelines, and budgets; coordinate vendors, volunteers, and staff to ensure
smooth execution.
• Oversee event logistics, including venue selection, equipment rental, catering, and staffing.
• Develop promotional materials and marketing strategies for events, in collaboration with the Marketing &
Communications Coordinator.
• Manage event registration, ticketing, and attendee communications.
• Provide on-site event management and coordination, plus post-event evaluation and reporting.
• Identify and develop new event concepts, budgets, timelines, sponsorships, and partnerships to grow revenue and community engagement.

Membership Development and Engagement

• Lead strategies to grow and retain Chamber membership through proactive outreach and relationship building.
• Serve as a key point of contact for members, ensuring they understand and utilize Chamber benefits.
• Manage the Chamber's membership database (GrowthZone or similar), including updates, renewals, and reporting.
• Oversee onboarding of new members, including welcome packets, introductions, and recognition efforts.
• Conduct regular check-ins and outreach to existing and prospective members; track membership trends and report to leadership.

Sponsorship and Partner Support

• Develop and fulfill sponsorship opportunities for Chamber programs and events.
• Maintain sponsor communication and ensure recognition across Chamber materials, signage, and digital platforms.
• Track sponsor benefits and prepare post-event reports or proof-of-performance summaries.

Community and Volunteer Engagement

• Build relationships with community partners, nonprofits, and local organizations to strengthen the Chamber's
presence and collaboration.
• Recruit, train, and coordinate volunteers for Chamber events and programs.
• Represent the Chamber at community meetings, ribbon cuttings, and networking functions as a professional
ambassador.

Buffalo Bill Art Show and Sale Support

• Assist the Art Show Director with event logistics, volunteer coordination, and sponsor support as needed.
• Participate in the planning and execution of Rendezvous Royale week events.

Administrative Support

• Assist the Executive Director with administrative tasks related to events, membership, and reporting.
• Maintain organized event and member files, databases, and communication records.
• Attend Chamber meetings and provide staff support for committees and programs as assigned.

Qualifications

• Bachelor's degree in Business, Communications, Hospitality, Marketing, or a related field preferred (or equivalent experience).
• 3-5 years of experience in event planning, membership services, or community/association engagement, with
demonstrated budget management experience and leadership experience.
• Strong organizational and time-management skills, with the ability to manage multiple projects and priorities
independently.
• Excellent written and verbal communication and interpersonal skills.
• Demonstrated ability to take initiative and exercise sound judgment in an operational leadership capacity.
• Proficiency in Microsoft Office Suite; experience with GrowthZone or a similar CRM preferred.
• Knowledge of the Cody community and local businesses is a plus.
