Wyoming Shooting Complex Part-Time Administrative Assistant
The Joint Powers Board is hiring a Part-Time Administrative Assistant to support the development and operations of the Wyoming Shooting Complex.

Position Overview
The Wyoming State Shooting Complex Joint Powers Board (JPB) is seeking a reliable and detail-oriented Administrative Assistant to support its board operations, public communication, and project coordination. This is a part-time, hybrid (20 hours per week), with the opportunity to grow into a broader executive or operational support role in the future.
The Administrative Assistant will play a key role in organizing board and committee meetings, maintaining records, supporting compliance with state and local regulations, posting to public-facing platforms, and assisting with bookkeeping and communication tasks. The role requires in-person availability for meetings, scheduling, and coordination.
Key Responsibilities
Board & Meeting Support – Schedule and coordinate Joint Powers Board and committee meetings
– Take and distribute official meeting minutes in compliance with Wyoming Open Meetings requirements
– Post agendas and legal notices as required by state and local regulations
– Coordinate board calendars, travel, and logistics
Administrative & Compliance Support – Maintain file systems, including digital records on Google Drive or Dropbox
– Track and support compliance filings with city, county, and state agencies under the Wyoming Joint Powers Act
– Assist in responding to public records requests and ensuring records are accessible and well organized
– Track deadlines and documentation requirements for board operations
Financial & Bookkeeping Support – Assist in basic bookkeeping using QuickBooks or other financial record keeping
– Track and organize receipts, invoices, and vendor payments
– Support financial reporting and coordination with the Board Treasurer or contracted accounting firm
Communication & Outreach – Post routine updates to social media (Facebook, Instagram) and maintain scheduled activity
– Make light edits to the organization’s WordPress-based website (training available if needed)
– Assist with drafting public notices, event announcements, and community updates
– Respond to general inquiries from the public, partners, or government staff via email or phone
Other duties as may be assigned
Required Qualifications
• Associate’s degree or equivalent experience
• 2+ years of administrative or executive assistant experience
• Strong organizational and written communication skills
• Self-motivated and able to work independently with minimal supervision
• Proficient with:
o Google Workspace (Docs, Sheets, Drive, Calendar)
o Microsoft Office
o Zoom (virtual meetings)
o QuickBooks or other financial bookkeeping systems
Preferred Qualifications
• Experience supporting a public board, nonprofit, or government office
• Familiarity with WordPress or basic website editing tools
• Understanding of the Wyoming Open Meetings and Public Records Acts
• Residency in Park County or the Bighorn Basin
• Personal or professional familiarity with shooting sports, public recreation, or outdoor community events
• Experience with basic social media content creation, scheduling, and engagement is a plus; candidate may be asked to support online visibility efforts across Facebook, Instagram, or similar platforms
Additional Information
• Status: Part-Time (20 hours/week), W-2 employee
• Compensation: Hourly, based on experience
• Work Environment: Hybrid role based in Park County, Wyoming; must attend scheduled board and committee meetings
• Start Date: Within 30 days of hire
• Opportunity: Role may expand over time as the organization grows; future executive-level responsibilities may be considered but are not guaranteed
